BCP is seeking an Accounting Assistant with expertise in Evolution (SAGE). The role will be responsible for processing transactions, reconciling accounts, and preparing financial reports while maintaining compliance with local regulation and therefore involves providing financial, administrative and clerical support to the organization. The role is to control expenses by verifying and reconciling invoices and any internal cost transfers. The Accounting Assistant job description also includes the day-to-day management of all payment cycle activities in a timely and efficient manner. Attention to detail and data entry skills are important requirements for an Accounting Assistant.
Main Responsibilities:
- Verify, allocate, post and reconcile accounts and accurately process daily financial transactions;
- Produce error-free accounting reports and present their results using the COA accurately;
- Keeping accurate filing and tracking of all payments and expenditures, purchase orders, invoices, statements, etc;
- Reconciling processed work by verifying entries and comparing system reports to balances by collecting monthly statements where required;
- Perform accurate data entry and maintain the integrity of financial data in accounting software;
- Ensure compliance with GAAP principles;
- Manage travel advances, expenses reports, ensuring vendors and consultants are accurately paid within the contractual timeframe and retired on time;
- Support BCP departments efforts in project planning, budgeting and administration oversight;
- Ensure proper spending procedures, documentation, and accurate data entries into Evolution (SAGE);
- Comply with all contractual commitments and ensure compliance with local policies and regulations in respect of payments;
- Review invoices, expense reports, and advance requests for accurate calculations making sure the transaction is fully supported and audit ready as well as for compliance with consulting agreements, travel policies, and company procedures;
- Manage the reconciliation of allowances for all staff, ensuring accurate reporting and adherence to company policies;
- Conduct regular fuel reconciliations to verify fuel usage against recorded expenses, identifying discrepancies and implementing corrective actions;
- Maintain organized records of financial documents, invoices, and receipts in accordance with local regulations and company policies;
- Assist with internal and external audits by providing necessary documentation and responding to inquiries regarding financial records;
- Other duties assigned by the Snr Finance and Admin Officer or Finance Supervisor.

- Maintain and update employee files, ensuring accuracy and confidentiality of personal and financial information;
- Process staff expense claims and reimbursements, ensuring compliance with company policies;
- Track employee attendance and leave requests, helping to maintain accurate records for payroll purposes.
Requirements:
- A diploma or degree in Accounting, Finance, Business Administration, or a related field;
- Minimum 3 years’ experience working on Evolution (SAGE) accounting software;
- Solid understanding of basic accounting and accounts payable principles;
- Proven ability to calculate, post and manage financial records;
- Accurate data entry skills;
- Ability to build good relationships with vendors and suppliers;
- Ability to prioritise and multitask;
- High level of accuracy and attention to detail;
- Excellent verbal and written communication skills;
- Ability to work as part of a broader team;
- Advanced computer software skills, including Excel and Accounting packages;
- Preferred active OCAM membership;
- Fluency in English and Portuguese.
